In order to record our professional volunteers contributions and therefore show a more realistic picture of the total value of what is donated to Thousand Smiles to make this outstanding project a reality The Board of Directors at the recommendation of our auditors has decided that it will be necessary to begin recording the hours that each professional licensed volunteer works at the clinic.
This will be implemented in the following manner:
Each department will have a Team Recorder, this person can and probably will change from clinic to clinic and could possibly be the Team Leader of his or her respective group.
The departments designated to start out along with their respective locations will be the following:
Dental - Clinic
- Dental Assistants
- Dental Hygienists
ENT and Triage Clinic
X-Ray - Clinic
- X Ray Technicians
Audiology - Clinic
Surgery - Screening - Clinic
Surgery - Hospital
- Nurses (local and volunteer)
Nurses - Stocking Supplies - Clinic
For example: A Dental Team Recorder will be selected for a particular clinic The Dental Team Recorder will fill out the attached Volunteer Log and will turn it in to Gloria at the end of the clinic He will also give one of the attached Volunteer Time Log forms to each licensed volunteer. That volunteer will fill out the time log and at the end of the clinic will turn it in to the Team Recorder. He will in turn give those to Gloria as well. All Department Team Recorders will do the same with their logs. The Surgery Team Recorder will put all of his records in an envelope and give them to the volunteer that drives the truck and picks up the supplies. This envelope should be left on the desk in the warehouse or given to Bob or Gloria Chalfa, if possible.
Gloria will calculate the donations in kind amounts and post them, keeping the logs as backup for the amounts.
Please be patient as we implement this new system and make adjustments as we see fit, and remember, this is not an option or an idea, it is something we have to do.
